Library Home » Archives & Special Collections Photocopy/Reproduction FeesReproduction Fee ScheduleThe Archives and Special Collections Department is pleased to provide reproductions of our textual, visual and audio materials, when such reproductions will not damage the original, violate copyright, or violate any restrictions imposed by the donor. Photographic reproductions are made by a photo lab outside the University. Photographic prints are produced from high-resolution digital scans of original materials. Prices are set by the lab. For a current price list please ask the Archives or Special Collections staff. These copies take approximately ten (10) working days. Commercial Use requires the completion of an Application for Permission to Publish (PDF format; 37 KB) and the payment of use fees. Please see below for applicable use fees. Proper citations to the Archives or Special Collections materials must be given: [Identification of item], Title of collection, Dates, MS #, UTSA Archives, Library, University of Texas at San Antonio. All prices are subject to change without notice. Pre-payment is required on all orders. Payment may be made in by check or money order. Checks should be made out to The University of Texas at San Antonio Library. If the purchase is made on behalf of a tax-exempt organization, please provide a copy of the tax-exemption certificate. Rush services are available on a case-by-case basis. Rush orders will be completed in 2 business days, for a fee of $10.00. PhotocopiesPhotocopy Request form (PDF format; 51 KB) All photocopying is subject to the approval of the Archives or Special Collections staff. Copying decisions are based upon preservation and copyright concerns. Materials larger than 11" x 17" will not be photocopied. Oversize materials may be photographed. Staff will not photocopy entire published works that remain under copyright. Fee for letter or legal sized copies is $0.25 per page. 11" x 17" is $0.50 per page. A handling fee of $5.00 per order is charged for all orders that must be mailed out. No handling fee is charged for orders picked up at the Archives. FaxesFaxes: $0.25 per copy, $1.00 per page faxed, $5.00 per order long distance charge, and $10.00 per order overseas charge. Digital ScansRequest for Digital Scans or Photographic Reproduction form (PDF format; 58 KB) Please note that in some cases we may not be able to scan due to the fragile condition of a book, page or image. The condition of the item is determined by the Archivist. Patrons may provide their own storage media, or these will be provided by the Archives at the prices listed below. No e-mail attachments will be sent.
PhotographyAll photographic requests must be approved by the Archivist. A worksheet listing the items to be photographed and the type of photographic service desired will be filled out by the patron, along with an Application for Permission to Publish (PDF format; 37 KB). The latter is required in order to conform to current United States copyright laws. If the Archives does not possess a digitized version of the photograph, one must be generated for the production of prints. Digital images will be generated from the photograph's negative whenever possible. The user will be charged for the production of this digital image, which will be retained by the Archives. By having digital images, the need for subsequent handling of original materials is eliminated, thus contributing to their preservation. The same policy applies to color transparencies and slides. Photographic Preservation FeeThe photographic preservation fee is used to defray costs associated with the special handling required of the types of materials which must be photographically reproduced. Funds generated from these fees are dedicated to the further development and preservation of the Archives and Special Collections Department holdings.
A handling fee of $5.00 per order is charged for orders that must be mailed. No handling fee is charged for orders picked up at the Archives or Special Collections. Prices are subject to change without notice. Processing TimeThe time between when an order is placed and when it is completed depends upon the volume of orders being placed and the type of service requested. Orders are completed in the order in which they are received. Rush service is available on a case-by-case basis, for a fee of $10.00 per order. All processing times are approximate from the date of receipt and are not guaranteed. You will be contacted by Archives or Special Collections staff when your order is ready. Processing time does not include mailing time. Copyright ComplianceThe Copyright Law of the United States (Title 17, United States Code) governs the making of photocopies or other reproductions of copyrighted materials. Under certain conditions specified in the law, libraries and archives are authorized to furnish a photocopy or other reproduction. One of these specified conditions is that the photocopy or reproduction is not to be "used for any purpose other than private study, scholarship, or research." If a patron makes a request for, or later uses, a photocopy or reproduction for purposes in excess of "fair use," that patron may be liable for copyright infringement. This institution reserves the right to refuse to accept a copying order if, in its judgment, fulfillment of the order would violate copyright law. Patrons wishing to publish or display unpublished materials must obtain permission from the copyright holder who is the creator (author, artist, photographer, etc.), or his/her heirs or assigns, unless a written transfer of copyright has been made to another party. Clearance of copyright is always the responsibility of the person wishing to publish or display such material. Additionally, written permission to publish or display must also be secured from the Archives as owner of the physical property. A complimentary copy of the final publication (in any medium) using reproductions of Archives and Special Collections Department materials must be donated to the Archives. Furthermore, reproductions are not subject to further reproduction or for deposit in an archives, library, or other institution without the written consent of the Archives and Special Collections Department. |
