Faculty Information for Reserve

General Information

The Library Reserve service enables faculty to place course materials on Reserve for student use. Reserve items may include books, personal copies, articles, multimedia, and other course-related materials.

Books and media items placed on reserve by faculty are held at the Circulation Desk for students to check out. Journal articles and other course reserve materials that can be digitized are placed on Electronic Reserve (E-Reserve). Students in the class are able to access E-Reserve material via links on WebCT course pages. E-Reserve materials are available on the web, anytime, anywhere.

Books and Media Materials

The Library maintains reserve books and media materials that are selected by faculty for class readings at the Circulation Desk. To find books and media items that are on Reserve, students can search under Course Reserve in the library's online catalog. Reserve materials can be found by course name and number, name of department, or by the name of the instructor.

Faculty who wish to place library-owned materials on Course Reserve are welcome to submit an online request. Upon receiving a faculty request, Access Services staff will pull books or media items from the stacks and place them on Reserve.

Personal Copies

If a faculty member would like to place a personal copy on Reserve, Access Services staff will pick up the item from the faculty member's office. Simply provide the building name, office number, and time for pick up via an email message to libreserve@utsa.edu. Upon request, Access Services staff will return the material to faculty offices at the end of the semester.

Electronic Reserve Service (E-Reserve) links course reading materials to WebCT course pages

Electronic Reserve Service (E-Reserve) links course reading materials to WebCT course pages enabling students to access full-text article, course notes, etc. online. Once the E-Reserve link is created, students have online access to course readings via the online WebCT page, simply by clicking the Reserve icon.

If a faculty member provides photocopies of journal articles, lecture notes, or other class materials, Access Services staff will scan and link the material to a WebCT page for the course. If a faculty member has not yet created a WebCT course page, Access Services will create a page in order to provide access to E-Reserve materials.

Faculty are also welcome to email personal copies of articles or other materials to Access Services as attachments, or they may use the online course reserve request form to request that library-owned journal articles be placed on E-Reserve.

If faculty members wish to have library-owned electronic journal articles placed on E-Reserve, Access Services staff will create a direct link to the electronic resource from a WebCT course page, depending on the licensing agreement of the e-journal.

Items that cannot be placed on in-library Reserve

  • Materials that belong to other institutions. No items borrowed through interlibrary loan can be placed on reserve.
  • Copied movies cannot be placed on reserve without consent of the copyright holder.
  • Rare or very fragile items.
  • Photocopy of the entire book.

Copyright

In determining whether the use made of a work is fair use, the factors to be considered shall include:

  1. the purpose and character of the use, including whether such use is of a commercial nature or is for non profit educational purposes;
  2. the nature of the copyrighted work;
  3. the amount and substantiality of the portion used in relation to the copyrighted work as a whole; and
  4. the effect of the use upon the potential market for or value of the copyrighted work.

Reserve Forms

Online Form

The following Reserve online request form offers UTSA faculty a convenient way to place library-owned books, journal articles, and/or media materials for their class reading assignments.

Printable Forms

  • For Print materials such as books or articles (Word or PDF format)
  • For Non-print materials such as DVDs, CDs, etc (Word or PDF format)

Forms are also available at the Circulation Desks or the Multimedia Center Desk.

Please fill out the form as completely as possible and cite items as you will cite them in your assignments.

  1. Fill out a separate form for each course you are requesting Reserve.
  2. To request that we order an item, check the ORD column.
  3. Please leave CALL NO blank if personal copy.
  4. For journal articles, the title of a journal article should appear in the TITLE column, followed by the title of the journal, from which it came, and the volume, issue, date, and pages.
  5. Check the appropriate loan period. We will assume the shortest loan period for the type of material if nothing is marked.
  6. Materials for UTSA Downtown must be clearly marked for that location.

If you add materials later in the semester for the same course number, you do not have to fill out another form. Just go to the appropriate service desk, Circulation or Multimedia.

Materials will be removed from Reserve in the week following the end of the semester and returned to your department office. If you prefer another arrangement to receive your materials at the end of term, please note it at the bottom of the Reserve Request Form.


Deadlines

Reserve materials may be submitted throughout the school year. Materials should be turned in for processing at least two weeks before classes will need them.


Note: Reserve will be as flexible as US Law and our staffing constraints allow.
